Below you will find all the Position Descriptions for the Leura Public School P&C. The positions are vacated and re-elected at the P&C Annual General Meeting. Please feel free to send an email to the current President at [email protected] or the current Secretary at [email protected] should you wish to nominate any P&C Member for a role, or be nominated yourself for a role.
President
The President is the main link between the P&C and the school. The President chairs all meetings of the P&C.
The role of the President includes:
Providing leadership
Acting as a spokesperson for the P&C and ensuring good communications with the School
Reporting to P&C meetings about the activities of the P&C
Exercising some supervision of the functions of other office bearers
Ensuring adequate and efficient communication exists between the P&C and the school, and encouraging parents to participate.
Responding to correspondence (email and letter), as required
Expected time required: approx. 25 hours per month
Vice-President
The Vice President works closely with the President and undertakes tasks as required to reduce the burden of the President. The Vice President presides as Chair at meetings where the President is absent, so it is important that the Vice President is familiar with the operation of the P&C and the duties of President.
The Leura Public School P&C has two Vice President roles.
Expected time required: approx. 15 hours per month
Secretary
The Leura PS P&C Secretary is part of the P&C Executive.
The primary responsibilities of this position are to:
Prepare and circulate P&C meeting agendas
Record and circulate minutes from P&C meetings
Maintain an actions list from meetings
Maintain contact lists for P&C position holders and financial members
Expected time required: approx. 5 hours per month
Treasurer
The Leura PS P&C Treasurer is part of the P&C Executive.
The responsibilities of this position include:
Receipt and care of all P&C monies
Payment of authorised bills from P&C funds
Bookkeeping of P&C accounts
Organising insurance for the P&C
Reporting to P&C members on a regular basis the receipts and payments handled
Preparing a Financial Statement of Income & Expenditure and a Balance Sheet for the audit of the P&C books
Expected time required: approx. 10 hours per month
Assistant Treasurer
Supports the P&C Treasurer by: a) undertaking the Treasurer’s role if he/she is unavailable to attend P&C meeting/s and b) providing additional administrative support as needed/requested.
Expected time required: approx. 5 hours per month
Publicity Officer
The Publicity Officer is part of the P&C Executive and manages the communications of the P&C efforts with the broader school community. This includes the Leura P&C website and P&C link on the Skoolbag app.
Tasks include:
Promotion of P&C activities and events via Skoolbag, and signage around the school
Creation of fortnightly P&C Newsletter
Publishing relevant P&C documents, such as Meeting Agendas and Minutes, as required
Expected time required: approx. 15 hours per month
Social Media Coordinator
Supports the Publicity Officer by:
Promotion of P&C activities online (website, Facebook and other social media where necessary).
Ongoing management of Facebook and promotion of P&C events via Facebook posts
Ongoing management of content to ensure the P&C website is current and up-to-date
Expected time required: approx. 5 hours per month
Fundraising Officer
Fundraising is a significant part of the P&C and requires support from the school community. The Coordinator is not responsible for undertaking all fundraising activities themselves. It is the role of the Fundraising Coordinator to manage, delegate and oversee all activities. Regular fundraising activities include the Easter Bake Sale, Mothers’ and Fathers’ Day and Xmas Stalls, Walkathon Sausage Sizzle, and Disco.
Tasks include:
Working with the school to identify fundraising goals for the year ahead
Plan and manage fundraising activities for the year including proposed dates
Work with the Principal for approval of the fundraising calendar
Plan, organise and execute fundraising activities
Promote fundraising activities through the website, Skoolbag, Newsletter and using signage throughout the school
Provide a report on activities at each P&C Meeting
The Fundraising Coordinator role can be shared by two or more people, and is also able to establish a Fundraising Committee to share the planning and execution of tasks.
Expected time required: approx. 10 hours per term but this may fluctuate depending on scheduled activities.
